Events & Webinars
An event organizer who answers the whole crowd without a help desk
The best events bring strangers together. Brightfield wanted every guest to find what they came for, and come back next month.
Brightfield Pop-Up Markets
Fictional business
A monthly weekend market with 40 vendors, run by Sam, the organizer, and two volunteers.
QR signs at the entrance and every vendor table. Guests scan for the schedule and map, ask about parking and what to bring, rate the day, and join the list for the next one.
Example scenarios. Every business on these pages is fictional, and the numbers are worked out from the assumptions shown, not measured results. Your numbers will differ.
Before Alfred
Where the week was leaking
The same questions at the gate
Where do I park? Is it dog-friendly? When is the music? Volunteers answer them all day.
Guests leave and the list never grows
A great day with hundreds of people, and no way to tell them about the next one.
Feedback comes too late
By the time a survey goes out, nobody remembers the day. Ask while they are still there.
83% of people who were asked to leave a review went on to leave one.

The setup
How they set it up
- 1
Quick start; portal buttons for the schedule link, a picture card for the vendor map, and Join your list.
- 2
Train your assistant: parking, accessibility, dogs, weather plan, vendor hours.
- 3
A quick rating card at the exit, and a QR on every vendor table from the Print kit.
Starter ($20/mo) runs this setup: Review & referral.
A week with Alfred
What the week looks like
Friday, 6:00 pm
People planning their Saturday ask the portal about parking and dogs. Alfred answers from Sam's notes.
Saturday, 11:00 am
The gate is calmer: the questions go to the portal chat, and volunteers help with the rest.
Saturday, 4:00 pm
Guests rate the day at the exit and join the list for next month.
Monday
Customers shows everyone who joined; Email everyone announces next month's date.
The math
Time and money in play
Worked out from the assumptions in each line. Swap in your own numbers.
Volunteer time
- 150 questions over a market weekend × 1 minute each = 2.5 hours of volunteer time back, every market.
Next month's crowd
- Say 120 guests join the list over a weekend. That is 120 people you can tell about the next market, instead of hoping they remember.
What it costs
- About 150 chat replies (1¢ each) and 120 emails (0.2¢ each) a month is $1.74 of credit. Starter ($20/mo) includes $3 a month.

What you can do this week
Put the QR code where people queue
The entrance and the food line. Waiting is when people scan.
Answer parking first
It is the first question every event gets. Put it at the top of what Alfred knows.
Ask for the rating at the exit
People rate a day while they are still in it. Next week they will not.
Announce the next date to the list
Customers → More → Email everyone, a week before the next event.
Run your own version of this week
Start on the free plan, build your portal in a few minutes, and print your QR code today.
