At a busy reception desk

The phone rings while someone is checking in.

Most questions a practice gets are the same dozen: hours, prices, parking, what to bring. The portal answers those so your front desk can look after the person standing in front of them.

  • Check in at receptionThey tap Check in and type their first name and booking email. You see who has arrived on your Bookings page.
  • Book with a providerThey choose who to see and an open time from your calendar, or the button opens the scheduler you already use.
  • Ask before they callParking, prices, new-patient paperwork. The agent answers from your own website and details.
  • Rate the visitOne tap on a star. Every rating gets your Google review link, and a low one also lands flagged in your Inbox.
  • Fill a short intake questionA survey card asks what brings them in, so the visit starts with the right provider.

Built for how you work

What changes at your reception desk.

  • Hold music at 8:55 a.m.

Patients who want to book or move a visit scan the card on the desk, pick a provider and an open time, and never wait on the line.

  • Empty chairs from forgotten visits

The day before every booking, a reminder email goes out, and the booking screen lets patients add the visit to their calendar.

  • Patients who never come back

On Pro, upload an export from your scheduling system and Alfred shows who is due back, then writes to them when it is time.

  • New patients who want to know what to expect

Paperwork, parking, how long a first visit takes. The agent answers before they arrive, and a survey card tells you what brings them in.

See a week with Alfred

A more personal experience

Patients who feel remembered.

Alfred writes to each patient at the moments that matter, in your words, so the practice feels personal even on its busiest day.

  • A reminder the day before, so the chair is not empty.
  • After the visit, a review ask while it is fresh.
  • Someone asked about a treatment. Alfred replies and invites them to book.
  • Asked about a visit in the chat but did not book? A friendly next-day note with a link to book.

Frequently asked questions

Straight answers.

Everything you need to know, in a few clicks.

Still have a question? Ask us
Can patients book with a specific provider?

Yes. Each provider can have their own calendar, and patients pick the person, the day and an open time. If you already use a scheduler, the book button can open it instead.

Is Alfred HIPAA compliant?

No Business Associate Agreement is in place today, so Alfred is for front-desk work only: bookings, reminders, hours, prices and reviews. Keep treatment and health details out of chat. The security page has the details.

Does it work with our practice management system?

Cal.com connects directly and Calendly bookings sync in. For any other system, export your appointments and upload the file. Alfred keeps visit dates, services and status, never notes or payments.

What happens when a patient rates us one star?

They still get your Google review link, like everyone else. The rating also lands flagged in your Inbox, and on Pro Alfred writes to them privately to ask what went wrong.

Will patients get messages we did not approve?

No. You read each follow-up before it goes out, and you can switch any of them off. Once you trust one, it runs on its own.

Do patients need to download an app?

No. The QR code opens a web page on their own phone. Nothing to install and no account to create.

Can we use it in more than one location?

Yes, on Pro: each extra location ($49 a month) gets its own portal and QR code, with its own hours, providers and calendar.

Who answers when the agent cannot?

Your team. The agent hands over when a person is needed, and the conversation lands in your Inbox with the patient’s details.

What does a patient see when they scan?

Your logo and colors, a button to book, a box to ask a question, your rating card and a way to join your list. You choose which cards are on.

Can patients cancel or move a visit themselves?

The reminder email links back to the portal, where they can book a new time. Let your team know about the old slot, or cancel it in your calendar.

Does the portal replace our website?

No. It sits beside it as the page for your front desk: the QR at reception and the link in your emails. If you have no website, it can stand on its own.
