Classes & Workshops

A class studio whose owner teaches instead of answering messages

People come to learn something with their hands and leave with something to show. Ana wanted to spend her day teaching, not typing.

Kiln & Kettle Studio

Fictional business

A pottery and cooking-class studio, run by Ana, who teaches, books and does everything else.

A QR code at the front desk, on every flyer and on the class receipt. Students scan to find a class, ask what to bring, book a spot, get a reminder, and get asked back for the next level.

Example scenarios. Every business on these pages is fictional, and the numbers are worked out from the assumptions shown, not measured results. Your numbers will differ.

Before Alfred

Where the week was leaking

  • Messages after every class

Is there a beginner class? Do I need to bring an apron? Can I come with a friend?

  • Empty spots from people who forgot

A booked spot that nobody fills is a spot someone else wanted.

  • Reviews only come if you ask

Students who loved the class would say so, if someone asked them the next day.

83% of people who were asked to leave a review went on to leave one.

The setup

How they set it up

  1. 1

Quick start with "Book a class" as the main button.

  2. 2

Train your assistant: levels, what to bring, private lessons, gift cards.

  3. 3

Bookings → Use Alfred's calendar for class times, or her own booking link.

  4. 4

Follow-ups: Booking reminder and Review & referral.

Starter ($20/mo) runs this setup: Booking reminder, Review & referral.

A week with Alfred

What the week looks like

  1. Sunday, 8:00 pm

Someone asks whether the Tuesday wheel class is for beginners. Alfred says yes and offers a spot. Booked.

  2. Monday, 10:00 am

Tuesday's students get a reminder with "Change or cancel". One cancels, and the spot opens for someone else.

  3. Wednesday

Tuesday's class gets a review ask; happy students get an easy way to send a friend.

  4. Friday

Ana reads "Questions Alfred couldn't answer" and adds two answers: parking and gift cards.

The math

Time and money in play

Worked out from the assumptions in each line. Swap in your own numbers.

Teaching time back

  • 30 messages a week answered on the portal × 3 minutes each = 1.5 hours a week, about 6.5 hours a month.

Spots in play

  • 10 class spots a month left empty × $45 a spot = $450 a month in play.
  • If a reminder fills or frees 4 of those spots, that is $180 a month back.

What it costs

  • About 130 chat replies (1¢ each) and 173 emails (0.2¢ each) a month is $1.65 of credit. Starter ($20/mo) includes $3 a month.

Actionable insights

What you can do this week

  • Put the QR on the receipt and the flyer

That is where people are when they want the next class.

  • Name your levels clearly

Beginner, next step, advanced: the assistant can only match people to classes it can tell apart.

  • Remind the day before, with a way out

A spot someone cancels in time is a spot someone else can book.

  • Ask happy students to bring a friend

Review & referral does it in the same email as the review ask.
